GENERAL TERMS AND CONDITIONS FOR BOOKING WITH TRAVELPARTNER NORWAY

Applicability: These terms apply to pre-organised trips offered for sale, trips created for specific purposes, and tailor-made trips for individual companies.

1. Payment Terms

  • Deposit: A non-refundable deposit of 30% of the total price is payable upon booking. By paying the deposit, the customer is deemed to have accepted these terms and conditions.
  • Final Balance: The remaining balance must be paid no later than 65 days before departure.
  • Late Payment: If payment is not received within 2 days after the due date, the trip will be considered cancelled by the customer, and the cancellation fees below will apply.

2. Cancellation Fees

Cancellations must be made in writing. The following fees apply based on when the notice is received:

  • Up to 90 days before departure: Loss of the 30% deposit.
  • 89 – 60 days before departure: 50% of the total trip amount.
  • Less than 60 days before departure: 100% of the total trip amount.

Note: These terms deviate from standard package tour norms due to pre-payment guarantees and strict obligations to our subcontractors.

3. Trip Execution and Changes

  • Programme Adjustments: Itineraries and content are indicative. TravelPartner Norway reserves the right to adjust the programme due to unforeseen circumstances without the customer being entitled to a refund.
  • Airline Schedules: TravelPartner Norway is not liable for airline schedule changes, delays, or lost/delayed luggage. Such events are beyond our control and may result in programme changes without refund eligibility.
  • Baggage: Airline rules for baggage weight apply. Customers must be able to handle their own luggage and travel without assistance.

4. Customer Responsibilities and Health

  • Health & Fitness: It is the customer's responsibility to be in a physical and mental condition that allows for participation in the trip without assistance. TravelPartner Norway reserves the right to reject customers who, upon discretionary assessment, are deemed unable to complete the trip unaided.
  • Special Needs: Any special needs must be disclosed at the time of booking. If we cannot accommodate these needs, we reserve the right to decline the booking.
  • Allergies: While we inform subcontractors of specified allergies, TravelPartner Norway does not take responsibility for the exact composition of meals. Allergic customers must remain vigilant and verify food preparation themselves.
  • Documentation: The customer is responsible for providing a name identical to their passport at booking and ensuring they possess a valid passport, visa, and necessary insurance documents.

5. Travel and Cancellation Insurance

TravelPartner Norway strongly recommends that all customers purchase comprehensive travel insurance that includes:

  • Cancellation protection.
  • Medical coverage and repatriation.TravelPartner Norway does not provide insurance and is not liable for situations the customer could have insured against.

6. Price Changes

All trips are subject to price adjustments due to factors beyond our control, such as:

  • Currency fluctuations.
  • Changes in flight or transport costs.
  • Increases in government taxes and fees.Customers will be notified of surcharges at least 20 days before departure. If a surcharge exceeds 8% of the total price, the traveller has the right to cancel the agreement.

7. Cancellation by TravelPartner Norway

Cancellation with full refund:TravelPartner Norway may cancel a trip and provide a full refund of all paid amounts in cases of:

  • Insufficient seat capacity with the airline.
  • Disproportionately high flight prices at the time of reservation.
  • Insufficient capacity with local transport providers.

Cancellation/Changes without liability:TravelPartner Norway is not liable for cancellations or changes caused by:

  • Extraordinary Circumstances: Labour disputes, fire, natural disasters, infectious diseases, or risk of war.
  • Safety Risks: Circumstances at the destination that make completion risky or unreasonable, based on advice from the Ministry of Foreign Affairs or local authorities.

8. Extraordinary Circumstances (Force Majeure)

TravelPartner Norway follows the Norwegian Ministry of Foreign Affairs' travel advice. Customers may cancel and receive a refund of the remaining balance if, within 14 days of departure, acts of war, natural disasters, or dangerous infectious diseases are confirmed at the destination, provided these circumstances were not known at the time of booking.

9. Complaints and Compensation

  • Immediate Notification: The customer is obliged to report any perceived defect during the trip immediately so that TravelPartner Norway has the opportunity to rectify it.
  • Written Notice: If a defect entitles the customer to a price reduction or compensation, written notice must be provided immediately.
  • Deadline: TravelPartner Norway will not process complaints submitted later than one week after the conclusion of the trip.
